Client Organisation Software?

Hey forum, just a quick post.


Now I used the search feature for this but couldn't find anything, so if there IS a previous post on this topic, I apologise!


I'm looking for a piece of software that helps me keep track of :

-Client info/contact details

-Client projects

-a to-do list

-a calendar/appointment book kind of feature


Just something I can use to keep track of clients, their work, and my schedule. The work-load keeps growing, so before it gets too much and I'm running round ripping chunks of hair out trying to remember and organise my life, thought I'd get some advice from people already in the know.

    I don't use any software, but I have a simple Excel spreadsheet with each project on it and the different things I need to do for each one. When complete, I simply mark it so.

    One of my offline clients requires a status update every 2 weeks - so for him, I've created a simple spreadsheet of all the copy which needs creating - and when he wants to know where I'm up to, I simply send him the spreadsheet.

    Had a look at that link Andrew, not sure if it's what I'm looking for right now, but I'll bear it in mind!


    Arfa, think I'll do the spreadsheet idea, but with disdain! Endless sheets of cells. It's like being in GCSE I.T all over again!

    What you need is a good CRM solution. There are many out there, but finding the best one for your needs is going to take a bit of work.

    I like Sage ACT. This software is great at keeping track of things with clients, however it can be a steep price for many.

    There are others out there and finding the best one for your needs will require you to sit down and look at your needs, then go out there and get the one that has the features that meets your needs the most!

  • I use vTiger CRM to manage the details of my business. My favorite feature is the dashboard because it displays snapshots of my key metrics (i.e.- Accounts, Invoices, Leads, Pending Activities, Trouble Tickets, Analytics, etc...) and I can quickly see what needs my immediate attention...

    For project management, in addition to listing project tasks in vTiger, you can also set milestones for each project. I previously used multiple tools & resources to manage my business and spent a lot of time updating each system. The only thing it doesn't have that I used before was a task time stamp, but since I have shifted to a R.O.W.E., it doesn't really matter.

        Love Caucasian boards; only prob is they bring out the repressed artiste in everyone. Grew tired of erasing infantile interpretations of Escher and such.

        Keep the board hid from others. Less'n you're the only one with access, then ol' whitey works.

    I use a spreadsheet, combined with a small whiteboard and lots of old-fashioned pieces of paper. It's not a perfect solution though, I'm still working on refining it so it's just right.

  • That whiteboard idea doesn't sound bad at all! I'll be looking into the Sage ACT, and other things, and see what happens.

      The whiteboard is something you can stick on the wall right above your workstation. And it can be instantly adapted, swapped or changed out in seconds without needing to open up a program on your computer.

      Staring you in the face it demands high organization skills solving the problem of who to look after next with a record of every action in columns alongside each name.

      When you finish a clients project brief simply wipe out their name and replace it with the next name numbered for easy reference.

      Use 2 or more whiteboards if you need space for the extra notes. Or different colored market pens.

      Red for instant action A/ high priority tasks and Blue for B/ tasks of secondary importance for the day ahead or weekly activities.

    Salesforce is what I used in my corporate job and it's pretty good esp for tracking prospects/clients and you can schedule tasks that will pop up as reminders on certain days. You can also send emails through it so you have a record of all communication you've sent out to the client...I think they charge on a monthly basis depending on # of users...

    One of my favourite things about using the Whiteboard is that it's best for the sense of satisfaction when marking something as complete! Just erase it So much better than ticking a box.
