I've got 40,000 Offline Leads - Best Way To Sort Them?

Ok, so I'm sat at the Mac with 40,000 leads in a spreadsheet, ideally I would like to organise them by the various columns etc.

Thing is, no spreadsheet seems to like doing this - they go really slow.

Anyone know of a way to break it down easily. Currently, I've tried Excel and Numbers.

I'm hoping that this isn't a case where I need to use a database to do this?

Anyone got any ideas

A database will only help if you want to run specific operations or searches on it. Also it would be just as slow to show you all the entries. 40,000 sets of data may eat up a lot of RAM. I think the problem is just computing power, maybe you can try OpenOffice but I doubt that it is any faster.

I suggest you split the file up in multiple other files, just copy and paste the entries. If you need to search all the entries at once, then I recommend a database.

    Hi Tashi,

Thanks for the advice - I do need to run a lot of searches on this list to produce qualified leads.

Then I'd definitely recommend that you import them into Access. I hope this is done the same way with the Mac version of Office as it is described here: Import Excel data to an Access database - Excel - Microsoft Office

Then you can run all sorts of queries on this database. If I remember this correctly, then Access gives you a comfortable interface and you don't have to mess around with SQL Syntax.

They are clients of a client of mine. I'm running an offline campaign for them (b2b).

I tried Bento today - didn't work at all - looks like access is what I need to use for this.

        Thanks again.

Do the leads need to be sorted for targeting on or offline?

We have a master sheet, with sub sheets for *various offers* *tasks* *blahdy blah* then save, once researched, contacted, optin hit, into mysql database in its simplest form, them extract / delete from the tables anyone who should be on a dif sheet or list...

Works well, no macros, no gadgets, no CRM... oh and no cost other than time :-)

We have far more than 40k and never had a problem as long as you keep it simple!
