Which software to manage your business ? (invoices, expenses, contacts, P&L etc)

Hi guys,

so far I've been using a mix of softwares (mainly freshbooks for invoicing) and excel spreadsheets (for expenses) to help me have an overview of my business.

I'd like to take this to a more efficient approach.

I need a system, preferably in the SaaS mode, which allows me to handle these tasks, all under the same app :

Invoicing
Expenses and earnings tracking
Profit and Loss overview
Contact management

I need my team to be able to add stuff in the app, like :
new customer and their details
product bought by the customer (I'm selling 3 products)

I also need it to be accessible through Internet and Ipad. I know that basically everything that runs in SaaS mode will be ok on iPad, but an app that comes with a specific iPad version would definately be better.

As I said, I've been using Freshbooks, ans it's pretty great, but each team member add $10 per month. No big deal, but since I have a little more than 10 people working for me, I figured I should check if something would be a better fit. Plus, they are ok for bookkeeping too, but I'm not against fancy graphs to show you where your business is.

Do you guys have any suggestions please ?

Thanks a lot !

I have been using a combination of Insight and Freshbooks. I only use Freshbooks to invoice a couple of clients though. Have you tried Harvest?

Wave Accounting is a mix of freshbooks and quickbooks. The best part is it is free.

Free Online Accounting Software for Small Business - Wave Accounting

The way they make your money is through emailing you sponsor offers. Like today I got an email that if I signed up with newegg business, I would get 20 dollars off my first order.

Well I haven't tried Harvest as I thought it was dedicated to time tracking, which I don't really need since I pay people from my staff a fixed amount per project, or on a fixed monthly salary basis.

As for Insight, I do plan to use it because I'll also switch to Basecamp soon.

Wave does look very good. Free is kind of scary for yhis kind of app, but after checking it a bit, looks very good indeed.

I've also heared about Xero, I may try both to take my decision. Anyway, thanks

Harvest does the same thing as Freshbook with better reporting. It just ALSO has some great time tracking in.

I was going to use Wave instead of Insight, BUT you cannot import your old transactions via excel. So, I would have had to manually input each of my old transactions, or just drop them in as journal line adjustments, which I did not want to do. If you are starting fresh, I HIGHLY recommend Wave. (You do get alot of email from them advertising stuff - that's how they keep it free - so you might want to create a seperate email just for that. )

    Thanks Bianca.

Actually, I'm ok with not being able to importing the data I had up to date. I'll have someone adding the customer base for me, and start a fresh system from now.

    Thanks again for you insight.

To manage your business accounts (income/expense), manage invoices, I would move with Handdy Apps. As they are supposed to be more convenient and precise to work with and they are set with the functions of what your spreadsheet does and the online invoicing too.

Apart from that, we do have "21 pay me now features" that assures the business management easier. If required, you can have a try with this software which is completely FREE of cost!
