What do you use to send personalized form letters to potential JVs?

Hi,

When it comes to mailing to a whole gang of people, it's much quicker
if you can create one letter with fields where you can automatically
insert specific information for that particular recipient.

For example:

In your letter, you'd have perhaps one or two paragraphs or sentences
that let the reader know that you actually did visit their site. So, you
might want to add, "I was really impressed with the excellent information
you provide on squirrel control" somewhere near the top and perhaps
some other sentence near the end.

Plus, of course, enter the person's name:
Dear Mr. Eccles -

I know that in Word, you insert fields in your letter to make the program
auto insert these bits. Fields generally look like [[firstname]] or [[para1]].

But I don't know how to do it for mailing. Like, I don't know how to do it
with Outlook, which is my email program.

I took a stab at it once and ended up accidentally sending out about
25 letters to different emails but with the same Dear [[firstname]] [[web address]].

What are you using to do these multiple mailings using a merge letter?
If you're using Outlook or Word - any tips on how to prepare the merge
BEFORE it actually sends the messages?

      Thanks for the tip, BlogBrowser.
      There are different approaches baseed on your
      particular target. Your approach works well with
      other marketers, but not so much with non-
      marketers who have a relevant site that could
      work as a JV. Depends on the level of JV offer,
      its complexity, etc.

      I was just using a quick example for this post
      which was simply to find out how DO you
      personalize form letters automatically?
      What program does it? What works best for you?

    Hi there,

    Microsoft Word (and I presume OpenOffice does too) has a feature called mail merge which you can use to merge fields like that. I used it years ago and couldn't tell you how it works now, but I think you can do something like this with it.

    Though I must admit, if I am approaching JV partners each letter is pretty much hand written - the only bit that is copy and pasted is the details about the actual opportunity. I tend to edit it to reflect our personal relationship and their interests / list.

      Thanks Jason.

      I did try before - using Word I believe - and accidentally
      mailed the same message to 25 people.

      I'm working through an instruction manual on getting JVs.
      The process involves entering the contact info into Excel, complete
      with brief comments about their site, and then merging those
      different fields into your mailing.

      Supposedly, you create relevant comments during the process of
      collecting names and contact info, thereby saving time.

      It all makes sense on paper, but I'm stuck on the mail merge part.
      In my experience, Word didn't prepare the messages and allow me
      to preview them before mailing - it just mailed them once the merge
      was complete.

      So I need a system that does allow me to see what I'm sending
      before it actually goes out.
