Managing Your Autoresponders

HI all,

There are members on here who have big lists, I'm not talking about sheer numbers, I talking about heavily segmented list, and I'm wondering how those members manage their list, particularly in regard to managing scheduling and organizing follow-up emails.

But I don't mean your 'normal ' followup emails...

Let's suppose you have an Aweber list, and you have 50 different lists.

All the list are made up of people interested in Internet Marketing information

And we'll say all your list are set up and categorized into ' Customers' and 'Prospects' . Eg

Prospects who are interested in Product x
Customers who have purchased Product x

Prospects who are interested in Product y
Customers who have purchased Product y

Prospects who are interested in Product z
Customers who have purchased Product z
etc

Now you want to start to do cross promotions and broadcast offers to each of the different lists

So you want to do a broadcast information about Product x to lists for Product x, and Product z

Then a few days later you want to broadcast information about Product y to lists for Product x, and Product z

Then a few days later you want to broadcast information about Product z to lists for Product x, and Product y

And that's just for the first email?

It's get hellishly complex to manage and organize if you have a lot of lists and you want to send a series of cross promotions broadcasts to all of them on a regular basis over time

But that's just the start, things get even more complicated trying to manager when to send all these different broadcasts so that they don't cross over ...double up...get missed

Those of you with big lists must encounter this type of issue, and so I'm wondering is there's any automated solution out there that can manage broadcasts in that way. I know I haven't found anything.

None of the AR' services that I know of can come close to managing that type of thing to that level.

It would be nice if there was an app. where you could say enter your list ID, write the email......allocate the lists that would be involved in that specific cross promotion .....set up the dates. Then press a button and get out the weeks cross promotions.

Of course you'd be using your own AR service to send everything (as you normally send emails to your list.)

I'm specifically talking about the back end management side of all this

Don't want much do I..

I know I could probably set it all up in a spread sheet, but that whole thing would be way to hands on.

I hope I've explained everything clearly.

    I use Aweber.

    I put all my customers on new lists for each product. You can't create different followup sequences per segment so I don't mess around with segments much.

    The other key here is that you should always go deeper into markets, not wider. Therefore although you may have a load of different lists, most of them should be focused around the one topic, whether it be offline marketing, mobile marketing, whatever. Therefore all of my broadcast emails about new products will generally go out to most lists. When you send to multiple lists at the same time Aweber will remove duplicates so they only receive the message once -- even if they are on multiple lists.

    I must admit I got lost half way through your post, it sounds far too complicated. I think you are possibly trying to overcomplicate things more than they really need to be.

      I got lost trying to write the thing. It gave me a headache

      Most of what you said in your first response I was aware of and I do that already Still thanks for the reminder

      And I see what you're getting at with your second post, but that's not the issue I'm trying to describe.

      I'll have a try to figure out a clearer way to demonstrate what I'm getting at with this.

        As good as AWeber is as an autoresponder service, it
        is not the best one for the job if you want to leverage
        the power of list segmentation easily and relatively
        inexpensively.

        Sure, you can use the automation rules to automatically
        add or remove people from various lists, but the newer
        AWeber accounts charge based upon the total number
        of subscribers in your account - regardless of whether
        they are repeats.

        For that, you could use a true CRM like OfficeAutoPilot,
        Infusionsoft, etc that will allow you to finely segment
        your lists for broadcasts and automated follow-up
        sequences too. However, these options come with
        a hefty price tag too.

        Another option (that I use) is a powerful autoresponder
        called ActiveCampaign. It's available in a third-party
        version (hosted by them) or you can host it yourself
        on your own server.

        Anyways, ActiveCampaign is very good for fine list
        segmentation because it allows me to add/remove
        people from lists or automatic follow-up sequences
        based upon whether they've clicked on a link, opened
        an e-mail or filled-in a new web-form:

        List segmentation can get real complex real quick
        especially if you're not using an ideal tool for the
        job in the first place.

        A wise old Internet mentor of mine used to say:
        In a choice between complex and simple ALWAYS
        choose simple.

        However, the optimal solution is to use good list
        segmentation to increase your chances of sending
        the right message to the right person at the right
        time and boost your response rates.

    You can do this exact thing inside Aweber.

    Create a broadcast email on one list. The last step before you save that message it will allow you to schedule that message for a later date if you like. Set the date and time you want it to send. You can also then choose other lists to be included in that message.

    That would effectively do exactly what you just mentioned above.

    Shaun, do you happen to know the delivery rate of ActiveCampaign? Is it comparable to AWeber's? (I mean when you host the software on their servers, of course.)

      I use the self-hosted version of ActiveCampaign on my
      own server, so I can't really comment from experience
      of deliverability rates via THEIR servers.

      However, their Terms of Service are pretty strict and
      the have a long list of list activities they don't allow
      (including: get rich quick schemes, affiliate marketing,
      etc.)

      I host it on my own server so I'm the only one on the
      IP address and my deliverability rates are affected by
      my own list building practices only and I operate on my
      own terms.

    I think you probably need a hosted email list management program or a custom email marketing server for this job. May be you also need help from a programmer who can help you properly segment your lists according to you needs. I think kind of requirements you have, you need highly custom solution.

      I use 2 different types of lists: buyer lists & non-buyer lists.

      With my buyer list I focus on building a relationship (quality information, max 1-2 promotions every 10 days...), with the other list, I market more aggressively and all members from this list get deleted after 2-3 month if I don't get any "reads"

      For each product, giveaway... I create a separate list with a short follow-up sequence. Once the follow up is finished, the member gets automatically transferred to one of my master lists.

        It is not complex at all. I will go like this ...

        STEP 1: I will keep ALL prospects for x,y and z in SAME 'Prospects' list, but as three sub-lists.

        STEP 2: Once 'prospect for x' buys the product, he will be removed from 'Prospects' list and added to 'Buyer x' list. (note: he must be added to 'Buyers x' list automatically after purchase)

        So I will be having:
        ONE Prospects list
        THREE buyers list for x,y and z

        Prospects moves to three buyers list based on their product purchases.

        Now:
        I can send either Cross product promotions to 'Prospects' list based on sub-lists OR to product y and z promotions to 'Buyer x' list.

        Phew!

        I think if you change this a bit, you can get this worked with any autoresponder.
