Legitimate E-mails Going To SPAM

I have a serious problem. We have about 15 different clients we work with. And we send them a bunch of e-mail daily (back and forth, all day long)... These aren't one way e-mails, it is real conversation. Lately, most of this e-mail has been going to spam and it's causing so much frustration.

I'm doing e-mail (Horde Webmail) through my web hosting account, which is Nexcess.net - it is a shared account. So my guess is someone else on the server did some spam e-mail and got our IP address red flagged or something... who knows!

Should I move everything over to g-mail? I have so much history/data here, I don't want to lose it all. And I have me@mydomain.com - so how would I do it through g-mail? I'm a newbie when it comes to this stuff, any help would be so appreciated.

    First, check to see if your server is on a spam blacklist...

    Blocklist Removal Center - The Spamhaus Project

    If it is, then contact your webhost and let them know (if they can't get it whitelisted again right away, then they should at least move you to another server).

    If your server is not on a blacklist, then check your Spam Assassin settings (in cPanel) to make sure that you are not using overly-aggressive settings, which could filter out legit emails.

    Also, I think it's a good idea to manually "whitelist" your most important email addresses. If you do that (and if your recipients do the same), then you technically shouldn't have any problems. I say "technically", because if your server is mis-configured, it can cause all kinds of unexpected behavior.

    Go to mxtoolbox.com and enter you domain name. Then click to check to see if it's on any of the known blacklists. That should check almost all of the popular blacklists in just one click. Also, have you tried contacting your hosting company about it already?

    Easy solution is to have them add you as a email contact. We have this problem with clients all the time, some are just not savy to email or web.

    The OP didn't make it clear enough as to whose emails are going to spam. Your emails are ending up in their spam folders, their emails are ending up in your spam folders, or both? Whoever is sending the emails that end up in spam is the person who needs to look into things more closely. If your servers IP has been blacklisted then you may want to contact your hosting company and purchase a dedicated IP for your hosting account only.
