I Need some help with formatting in MS Office 2003

Hi all,

I am editing a book for a client but for some reason there is a weird formatting problem. I am hoping someone can solve it and it's not something that must be done manually.

The book has text and images.
If I want to insert a page near the start, it moves the text down but not the images. They stay in the same spot unless I manually drag them down the page.

There are a LOT of photos so I would rather not have to drag each one down, Does anyone have any tips????

    Hmmmm, l have 2003 as well, so you could try, when cutting and pasting his file over to yours is to try Control-A, instead of using the mouse to highlight the lot!

    Or the other way around if you are already doing that?


    I know thanks to Microsoft updates that Word no longer lets you put a link into a Word file and allows you to click on it!

    You have to PDF it, or cut and paste it over to the on screen notepad!!! Grrrrrr.

    Nothing worse than Microsoft slowing nobbling Word 2003 so more people will spend the $150 on the latest version!


    But anyway had my rant for the day, hope that it helps.

    PS you could also try installing Openoffice and see if it fixes the problem?

    Laurence - I have Word 2010, but try right-clicking the image and choose Size and Position. Select the Position tab, and make sure Move object with text is selected.

    Hi Dennis,

    2003 doesn't have that option.
    I am going to try and get 2010 as I think my landlady can add another computer to the disc she has. I suspect that may solve lots of my problems.
    It sounds like it might solve this one.
    Will your idea work on ALL images in the doc if I do that just for one image or do I have to click for every image?
    I ask as this is a 90 page book so it's not a small job.

    Shane... I don't understand what you mean at all. Maybe you can explain a bit better?
    I did try and copy the whole book into Open Office but it doesn't save the images at all so that won't work.

    In the meanwhile Shivam is having a look at the file for me to see if he can solve it.
    So am hoping someone can as I don't want to have to do it all manually when there should be a logical fix.

    Anybody else have any good ideas?

    Laurence - I think it has to be done to each image individually. You might be able to create a macro to automate it though. I can't tell you how as I've never created a macro with Word.

    You might be able to copy and paste it into an existing document that is formatted the way you want, and choose to use destination formatting. The existing document is one you'd set up like you want. Then you can remove the set-up pages. Not sure if Word 2003 has that feature though.

    Dennis, I know zero about macros as well so that is no good.
    I am going to see about getting MS 2010 and see if your idea will work.
    If not, at least I will have a newer Word Version to play with which may have less problems for me.
    My client knows less about Word than I do and I think she did it all individually.
    I am trying to save her a headache and myself one.

      Ok, just ran a test and it copied the lot including images in their correct spots into a new Word file.

      So first do this...

      • open the word file with the images, text, (make sure the Word cursor is flashing) etc , and then press down the "control key" and then press "A".

      That should make all the text look dark.

      • Next go to the new Word file and make sure the curser is flashing.

      • Then right click on the mouse and press paste, then the lot should appear with images on the new file.


      There are other keys you could press, but for now we will keep it simple.

    I think you don't understand the problem.
    What I want to do is to be able to move stuff down the document.
    The text does but the images remain in the same place.

    Copying it into a new doc doesn't solve that problem unfortunately.
    But I do appreciate the advice.

      Ok, got it, probably need to format the images one by one, so they will behave.

      Click on the image then right click on the mouse, then down to format image.

      Layout is the crucial one to click on, so the image behaves itself.

      Then just cut and paste the image to wherever you want!

    It doesn't have a layout option. I am just trying to avoid the one by one scenario.
    But I may have to do that in the end...will see.

      I understand your problem, but rather than suggesting, working on it may open doors to the solution. Is it possible for you to share it (not full, you can copy it's 2-3 pages, save to another file and share), So that I can try and let you know.

    It is always a long day.

    Finally I was pretty much able to solve the whole problem Laurence.

    Sent it to you in the email. by the way you will have to take a bit efforts to rearrange the text by hitting the Enter key sometimes

    Its working good as I tested.

    Well Dennis. I believe your idea was what worked BUT then each image had to be done one by one. Shivam has MS 2010 so he had that access I did not have.

    I still think there must be a way to fix it properly but for now at least it is fixed, thanks to Shivam and his team.

    Even when you click that link and edit one by one, there is still work to be done to centre each image and ensure the text is all properly lined up. But now the images move when the text does and I was able to add in an extra page without causing any problems.

    Teamwork makes it happen.
