"Best" way to collect Monthly Checks from clients

I was reading some of the threads here and noticed comments about "Collecting" Monthly Checks from clients!"

Some sales people suggest using "PayPal" (this is new to many business owners and takes much "explaining") and ....others ding clients Credit Cards (MOST business owners I've done business with do NOT want to use their Credit Cards for "Service") Others send Invoices to their clients/customers and HOPE they receive checks!

I'd like to share with you a method I've been using since 1995. At the bottom of my Order Forms is a sentence that says;

"Customer agrees that "Monthly Service" fee will be Automatically withdrawn from customer's Bank Account

#___________________at 1st of every month until cancelled

Approved by ________________________________
(Print Name of Account Owner)

Signed ________________________________________
(Signature of Account Owner)

NOTE: I am NOT a Lawyer nor do I intend to give "Legal Advice". This is just an example of what I use!

Now...there are software programs you can find by Googling "Checks By Fax" (I bought one back in 1995 that has worked fine ever since)

With the first check I get from my clients, I enter the check numbers into the program and....each and every month....the software program prints out checks with the proper info (At the Signature Line, there's a note that says; "Signature On File")

I stamp "For Deposit Only" on the back of each of these printed checks (from my InkJet)....make up my Deposit Slip and deposit just as if I had been handed the check from my customer/s.

Perfectly LEGAL and....SAVES so much hassle.

The "Monthly" checks go into my account each month and I then send each of my customers a "Paid" Invoice.

Simple. Easy-Peasy!

    Thanks for the tip this might also be used with my tenants. Tell me, do you have to get the ok from your bank prior to depositing the sig on file checks? I too still use an old inkjet printer. Thanks. Terry

      No "OK" needed by anyone!

      The "Banking Industry" OKAYED this back in the early 90's. We just print out checks on our inkjet....on the 1st of each month....and deposit them in OUR Bank Acct...just as if we had received them in person.

      Perfectly legal.

      I personally use tenants as well, it is the best way to collect checks.

    We use both Paypal and also have our own merchant account. The upside to these is that the client has an easy way to have payments auto drawn from their credit cards. We have a number of celebrities and entertainment clients. Our contract states that their credit cards will be auto debited for the amount per month. Since we have had these clients for over 2 years, we know that this system works.
