Tools for every SEO and Marketing Company

Hi Guys,

I wanted to continue to provide some useful information to the community. My name is Matt and I own a small SEO and Marketing agency that I run from my home. We do about $200K in revenues each year with our business being about 3 years old.

I also run a training organization for people who want to jumpstart into this business, so I'll share with you some of the systems and tools we use and how we use them. If you check out these sites, you'll save yourself a lot of time. No affiliate links used, just want to help!



1. SEO Reporting - We use Web CEO as our main reporting software. You can set it up to automatically deliver ranking reports with your logo attached. It is very professional. www.webceo.com

2. Proposalbe.com - We use this tool for writing proposals. www.proposable.com. It is really awesome as you can knock out proposals really fast for clients.

3. Freshbooks - www.freshbooks.com - If you're looking for a great way to bill clients and keep that corporate feel, then you can invoice them through freshbooks, and push the money into your merchant account or Paypal. It can automatically invoice a client each month as well, so it is really a great tool to help keep up with invoicing.

4. BaseCamphq - Basecamphq.com - is for project management. We outsource our SEO to various companies, and we receive the reports from those outsourced staff. We clean everything up and put it into basecamp and send the reports this way. It archives everything and also sends out the emails to our clients. Very slick the way it works.

5. Phone Systems - We use telecenter from coasecure, which gives you the phone system to sound like your a big company. I have to admit that when you use all the tools I've listed together, you might have an overhead of say a couple hundred a month.

However, you'll look like a big business. When you market yourself effectivly, you can generate much larger clients than most of the guys who do it as a hobby. In 2008, we went through some pretty rough times like many of you and I started looking for a business. We built this from the ground up doing a lot of things the wrong way. My encouragement to you guys is to learn from my mistakes and set things up the right way.

Then, when the right client comes along you're able to close the deal!

A few other tips I'll share is that we always charge for writing a proposal, up to $300 and it is wise to offer other services. For example, we offer website design, PPC, Affiliate Set-up for businesses, and a whole lot more. You can pretty much outsource your entire team and manage the project.

Our margins are about 75% and the company is run by myself and my wife. Most newbies in the consulting world do things the wrong way. They try to get 20 clients paying them $300 a month. However, if you position yourself the right way, you can have 6 clients paying you $3K per month of more.
