QRGs: An Important Tool for Every Virtual Assistant

If you are not familiar with QRGs, or Quick Reference Guides, now is a great time to become acquainted! In short, a QRG is a one-page, handy, information-packed resource document.
QRGs were something I relied on during my career in the corporate world. They served as valuable reference tools for tasks and projects within my job responsibilities, as well as wallpaper on my cubicle walls!
As a virtual assistant, creating and using simple, step-by-step guides is a smart and effective business system to implement. They will be used not only for your business processes, but for documenting and tracking tasks for your clients. The key is to keep a QRG short – one page if possible.
In an effort to save paper and keep my home office walls free of tape and holes, I no longer print my QRGs. Instead, for each client I keep a directory of files that include documented steps and procedures I can easily refer to when it’s time to complete a recurring task. Another benefit to setting up QRGs is that they are easy to update.
When a virtual assistant takes on a client, in most cases, the client is not going to hand you a nicely packaged document that outlines the steps required to manage a task. Your clients rely on YOU to manage tasks efficiently and accurately so taking the time to put the steps “on paper” will guide you through repetitive tasks. This is important because it will save you time and help you to avoid errors each time those tasks need to be completed. Sure, after a while you may not need to refer to the QRG for certain tasks, but should the task change or should your client request that you share your administrative procedures, how convenient that you have quick reference guide ready to refer to!
