Converting offline emails into your lists

I've collected a good handful of client email sign-ups in person at a recent trade show. They just signed up via a paper/pen list I had in my booth.

What is the proper way to get them into my email lists, specifically on Mailchimp? My first inclination was just to go to the sign-up form on my website and enter their info (their name/email) into the form and submit. Then they would get the opt-in email at home and be able to click the opt-in link. I would end up with a list of people that all have the same sign-up address (my IP), but have their own opt-in IPs.

Would that be sufficient? Mailchimp recommends just using my personal email to send them a link to the sign-up form, but I feel like that extra step would lower my rate of people actually following through compared to them just getting the opt-in email (as they've already signed up once in person).

Create a new list on MailChimp for your offline contacts so you can promote directly to them. You can send them personalized emails right off the bat as you know who they are and where you met them. Also, organize your leads in a CRM to track where your clients are in the sales funnel. This will help you create emails to convert and retain them.

That's a great tip. Will definitely try this.

Use a service that you can import the leads and don't require a confirmation message to be sent.

I have never used mailchimp and I don't think you can even import contacts, unless you use their API.

you can import offline lists into mailchimp without having the users confirm. You just have to check a box that says they gave your permission. Just put your list into excel and then import it. It's really easy.

I think entering their info on the signup form of your site might make them feel like you are encroaching their privacy. You want to gain the trust of potential new clients and subscribers.

I like Aiva's idea of creating a separate list for offline contacts, then promoting to them directly. Through this, you can offer them the option to subscribe to your mailing list and ask them to complete the sign up form themselves.

They themselves wrote their name and email address during the trade show, so this means that they were interested in what you had to offer to begin with.
