BPA, BPO, PM experts needed. Problems automating outsource business.

Hi everyone I'm looking at opening a business selling web services to offline clients. ALL ADVICE WELCOME AND APPRECIATED.

In short id have;

a local telesales employee,
a web design employee from the Philippines,
a virtual assistant,
a project manager,

Now without going too much into it I'm looking for information on how to have this run on autopilot. I mean have a set process in place for each product sale so the sales assistant gets the job on and discusses customer needs, passes the details to the web designer, web designer completes the job and passes it to project manager to check quality before passing it back to virtual assistant to deliver to client. This is a very basic rundown of the process.

I need something that will manage all of my leads and clients, so I'm able to see client information, detect how far long along the funnel they are etc. Along with past purchases. Id like to be able to build up a profile of info on each client to help target their needs better. All built into something where I can manage my employees and set tasks, see who is doing what.

What are my options, Business process automation, CRM, business process outsourcing and project management softwares all seem very confusing when i don't know which direction my business model needs. Any advice welcome. Could anyone explain which most suits my business in their opinion?

P.s I have been told Trello is good and tried it but just can't see how it would work properly with my business as i need to manage client info. (I have no affiliation with trello)

Thanks in advance
