Help with outsourcing simple tasks

Working in a mix of sales-marketing-business development position I`m always looking for ways to better manage my time as well as leads and marketing efforts.

I do a lot on LinkedIn which is usually personal messaging and quality relationship building.

The things that I would like to potentially outsource would be repetitive tasks that do not involve direct contact with potential clients - email scraping I have hired for before but I`m looking for something more in-depth.

As I generate more leads and record them in excel I find it more and more difficult to keep track of leads, follow-up, actually perform sales calls, and find new leads all at the same time.

So basically here`s my question: How can I help maximize my time spent gathering, maintaining, and closing leads? This is a service business where the price is relatively high and every client is very important.

Does anyone outsource effectively these types of things?

    If you go over to odesk.com and search for "appointment setting" you will find a number of people who can generate leads for you and then call them and set an appointment.

    That way you only spend time closing the warmest leads.

    Are you currently using any CRM software? That does help with organization. A cheap but effective one is Zoho CRM.

      This is the best way to outsource anything! Find yourself a virtual assistant and leave the repetitive tasks to them. The only difficult part is finding someone who you can work with long term, but once you do, you'll be able to let them do the grunt work and you'll be able to focus on what you find is most important.

    Here are my 2 cents:

    Explore Existing Tools
    Explore tools such as SalesForce to help you manage your leads and track its process. Maybe your issue isn't in needing an extra pair of hands, but in organizing your tasks and system.

    Have you explored Email Marketing to automate the delivery of information, while nurturing your leads, and maybe even closing them?

    Might be good to draw out your entire process, and hire a Virtual Assitant (VA) who can do the heavy lifting, allowing you to focus only on the 20% of the work that produces 80% of the results.

    i do the same kind of thing, so i developed simple lead gen task, basically how to find and record contact info and find one local smart person to work with. i pay her per hour. i've tried hiring from elance and fiverr but when it comes to the biz i've found its been in my best interest to find someone local and pay 10/hour. an hour of straight lead generation will give me plenty of leads.

    having someone else learn to generate the leads is an easy way to outsource part of the process to give you more time for the other parts.

    This is what Salesforce and the like are for.. though I assume SalesForce is probably out of your price range.

    There is/was a startup that I heard about recently doing something similar and I bet their pricing model is probably more amenable to smaller shops like yourself... just tried googling and couldn't find them. but just google something like CRM startup and you'll get a huge list to consider.

    depends on if you need more sales or you just need someone to help manage your current clients. If you just need someone to help manage your current clients and scheduling then you need an assistant. Someone you can trust with more important tasks. This person should be highly trainable. The suggestion for Odesk is good, I have hired a number of people on Odesk with good results.

    If you need more sales, you could narrow down the people you need to call and outsource the telemarketing "cold calls" to someone on Fiverr. at this point it would be a numbers game and you would convert a sale every so many calls.

    I agree with SupplementTalk. If you only need someone to manage or to do some other task that you can't handle because of time constraints, you need a Virtual Assistant for that. But if you want to boost your sales or someone to do the appointments setting or cold calls for you, then you'll be needing a Professional Appointment setter or marketer for that.     How do you make your outsourcing more productive?

    Be clear about your process.

    Right now, it seems you just instruct VAs to do grunt work.

    Teach them to ANALYZE.

    That would maximize your conversion throughput.
