Virtual Assistant Services

I'm looking to start my own virtual assistant services, and I wanted to know what services you would be looking for in a virtual assistant. Any feedback would be greatly appreciated.

I think a issue that many people have, at least here in the States, is some people have moral issue about hiring a VA from Outside the US. Paying the VA like 2 to 4 dollars per hour. Even if a dollar in there country is like 46 dollars here. Some people still have a issue with it. So I would say, offer a way to have both, United States Virtual Assistant and Virtual Assistants from foreign countries. I think that will make you stand out from the rest of them.

    Good Luck

Mark, I think the moral issue that you mention is really baseless. You have to base the going rate on the country that you're outsourcing to, as different countries have different standards of living, and paying someone $6 an hour in India would make them better paid than most doctors there! Sometimes I wish that these people would actually take the time to do some research before getting all high and mighty about "exploiting" people in third world countries.

With that being said, I think many people are looking for multi-talented and versatile VAs that can perform many tasks without requiring extensive training. I think if you can address that issue, then you can pretty much expect to get lots of business for your outsourcing services. Many people that I've talked to are concerned that it'll take too long and just be too difficult to train a VA to do what needs to be done, and if you can offer VAs that can touch type, transcribe, are handy with MS Office, Photoshop, can do some general web stuff (you get the idea here, I hope), then you will have people knocking down doors to sign up for your VA services!

I'll answer your question in another reply as I wanted to address the other poster who explained that many Americans don't feel comfortable paying outsourcing outside the U.S.

I have used VA's from the US and paid anywhere from $35 to $45 USD per hour. I only used them for tasks that required specialized skills.

I recently hired a VA from the Philippines for $18.50 USD per hour for a 20 hour block. Her skills are very good, communication was timely and the work product was to my satisfaction.

It felt good to hire someone for more than the $4-6 USD that a lot of outsourcing sites publicize because I did feel that paying those kind of wages was exploitative. (I obviously didn't do my research about the average wages in the Philippines and other countries.)

However, there were 2 problems with my $18.50 VA! She took much longer than her more expensive American counterparts in completing tasks. So, if I'd pay my "American VA" $35 for a task that took one hour, I was paying my Filipina VA $37.00 for the same task because it took her 2 hours!

Then at the end of the 20 hours, she sent me an invoice because I had gone over by 2 hours. When I questioned her about keeping track of the hours, she explained that her reporting system only generated the hours worked at the time of the FINAL invoice. I asked her to find a way to report her hours to me weekly, she was unable or unwilling to offer a solution.

I don't understand that attitude and needless to say that she lost my business.

I'm now comfortable outsourcing at much lower rates and I'm testing 2 different sources of Philippine workers. It's not ideal, because I'm looking for a general, all around VA and neither company offers that option.

I will still hire American VA's or find students/unemployed people in my area for certain projects. But I have no qualms about outsourcing jobs to quality workers in other countries.

      Hope this helps!

Ask your va to install rescuetime.com and send you the username and password then you can keep track of time. Ask them to start it up as soon as they start work for you and close it when they have finished their tasks.

Freshbooks.com is another good alternative. The free version only allows you to manage 3 clients though.

Sounds great, but how do you know they just don't manage a team in the Philippines

I'm a firm believer in specialization, as in, if country A can do X cheaper/better than country B, but country B can do Y cheaper/better than country A, country A should specialize in X and country B in Y...

So this would be a challenge to US VAs to realize they're better off finding people in another country (such as the Philippines) to handle their VA work, and focus instead on client acquisition...maybe hiring some US people to do that part of the business since client acquisition isn't as much of a strong suite of country b (at least, I've found.)

This allows you to grow your business faster, make more money, and be able to hire more people in your country than you would have been able to if you started there. Does that make sense?

          That makes perfect sense Scott.

It would help the business better if you entrust to another the nuts and bolts and instead focus your energies in finding clients for you burgeoning business. You would need to oversee progress on the work though as a means of control to keep the business in line with your objectives.

That was what I did with my previous principal; he handled the marketing aspect of the business and i did most of the gophering and day to day link building for the sites he had.

If you are interested in doing that, I am all for it. Just post a message here on how I can reach you since forum regulations do not allow me to PM or post email addresses.

          just my two cents.

Hello, I read your whole post and let me tell you something:
        Learn how to find outsourcers.
You found one hell of an expensive Phillipinian Worker. I have hired Philipinos for article writing/link building/other stuff for around 120$ a week for 5 days a week/8 hours a week which is 3$/hour and they spoke very good English, to be honest I've met Americans with worse English then theirs. You got ripped of paying 18.5$ an hour for a Phillipino unless she/he was doing something VERY specialized and not just some routine task.

That is exactly what I said, thanks for repeating it. In my example I used the ratio between the Untied States and the Philippines, sense that is were most people outsource there work to. What I said is some people think that paying someone 2 or 4 dollars an hour is like paying them $46 dollars per hour were they live. I'm not trying to get all high and mighty about exploiting people in third world countries, I could careless if you outsource your work outside of the country, that is your business. See I did do research on the subject, that is were I got the numbers from.

I would love to find a VA who can handle general office tasks such as:

    Wordprocessing
    Preparing Excel spreadsheets
Converting doc files to PDF files
Format PDF files (for reports and ebooks)
    Data entry

    More specific tasks like:
    Social bookmarking
Handle my Facebook requests, LinkedIn account (I have specific instructions which are simple and other VA's have had no problems following)
    Directory submissions
At least basic knowledge of Wordpress (can properly add blog posts and images)
Handle my newsletter (ezine) formatting and sending out bi-monthly
    Backlinking

If they have more extensive skills such as some HTML and are proficient in WP, that would be great but not necessary.

Hope this helps and let me know if you launch your business.

    Good luck!

I can do all the above, including HTML and WP, but can't work for $3 an hour, which is what most VA's from the Philippines are charging now. It makes it very difficult to find work online here in the UK.

If you are looking for someone who can do the work, and are considering a decent hourly rate for your VA's let me know!

          I can - want training??

Seriously, (though I will train you if you wish) There are also many Filipinos who can do a good job, there are just sometimes issues with understanding and speed.

Katie - Merlyn was paying her VA in Phillipines $17.50 an hour - I'm sure she'd go higher for you as a native english speaker..

Actually I was paying her $18.50 USD plus some sort of tax added to the invoice.

I'm now outsourcing certain tasks for much, much less (about $2-3 USD per hour) but I do not consider them true Virtual Assistants.

I guess they are because they work remotely and they're assisting me but I think you know what I mean.

The only problem hiring someone in the U.K. is the exchange rate My dollar doesn't go near as far there as it does in the U.S., Canada or Australia.

"some sort of tax added" - heh heh.

Interesting to know about the variation in costs, and the e/r issue, although $18.50 is still a decent wage in GBP for a VA to earn here - unless Katie disagrees!

Well all of the VA's I know from the UK charge in pounds not dollars. However I should have checked your Warrior for Hire sig before I posted earlier.

Where have you been? I've been looking for a "real" VA for three weeks, trolling all the warrior for hire and classified ads and didn't find anyone who had a diverse set of skills.

I'll PM you so we can set up a time to talk, probably some time later this week.

I will look forward to receiving your PM.

I have 'been' wasting time on odesk. This thread and one other inspired me to set up a 'for hire' here. They say 'do what you do best', well this is what I do best.

As most warriors deal in $'s it seemed the best way to charge. That way, the exchange rate is my problem, not the customers.

She must be because she lost me as a client and didn't make any effort to keep me.

I was paying her $18.50 per hour for a 20 hour retainer package plus the "heh heh" tax. Which I prepaid for.

After the first month, she sends me an invoice for the 20 hours plus 2.5 additional hours that I "went over". Huh?

The invoice shows the credit for my initial payment and then a charge for 2.5 hours plus the "tax".

I asked her if she isn't tracking her time. Well, no. The program she uses only shows the hours when the final invoice is printed.

I tell her that's not acceptable and she needs some sort of time tracking software and needs to send me her hours worked at the end of the week.

She hemmed and hawed and I just said forget it.

So, she obviously doesn't need my $18.50 per hour!

If you can afford to do it, it seems as though the more successful VA companies have specialized workers. It makes sense that if one person is dedicated to social bookmarking and another does social profile building, the quality of work is going to be higher.

Customer service is really really important. Many people using VA can throw a lot of business your way if a good relationship is established.

Back to the topic of starting your own VA Service Business...

IMO if you want to start out looking for VA work do the following:

*Become a paid member of the warrior forum (it's like $30 one time fee)
*Participate within the WF community (which you are currently doing)
*write down your services you would like to offer
*Create a listing in the warrior for hire section
*Create a classified listing in the warrior forum
*Create a website describing your services with a blog attached
*Set a price for your services on your website
*Then list your services in the WSO (Warrior special offers section) at a discount for warrior forum members.

There is no reason for you not to find work if you follow these steps.

Not sure if I'm missing something, if I am, I'm sure someone will add some input.

    Good luck!

    Jerry

That is great advice. You can definitely find work on the Warrior Forum and there are other niches besides IM which use the services of VA's. Just a few are real estate, personal and business coaches, and speakers.

Please contact me and I can offer you additional ideas and some forums you can join.

      Good luck!

I forgot to mention a lead capture system on your website. Make sure you implement some sort of email marketing plan. Like offer weekly discounts, coupons, or reports as an incentive to gain newsletter subscribers. Once you have newsletter subscribers, you can gain repeat business from your list by offering discounts and coupons for your services.

Mark (on this thead) and I are both members of ReplaceMyself.com and there is absolutely no way you should be paying several dollars per hour for a VA in the Philippines.

I have two full timers now. It's costing me an average of under $2 per hour assuming 22 days per month and 8 hours per day.

One of them is a FLUENT english writer. Unreal. I've been blogging about it since I started doing this (see sig).

If you start your own VA firm, I think you should recruit talented people, train them, pay them really fair wages, teach them how to over-deliver, and simply market to people on this board.

I'm also looking for a Fulltime Flippino VA to assist me in my projects.

I'm looking for someone who is probably a good link builder and web programmer. (content writer would be a plus)

If anyone can help me out in getting a perfect VA at a good budget, Please PM me.

    Thanks,

One Virtual Assistant service I haven't seen, but have been very interested in is: a answering service (providing billing/customer support/technical support over the phone).

This could be done with physical VOIP equipment (I currently use an AltiGen system) or Softphones (like a Vonage phone #).

Does anyone know of virtual assistants that offer this?

      Yes

It is something I could offer. It would require product knowledge of course.

Thank you everyone for you feedback. This has all been very helpful. Another question I wanted to put out there is regarding pricing for specific tasks. For example, how much would you be willing to pay for general office tasks like preparing excel spreadsheets or data entry, Social Media, Article Writing.

as for pricing.. minimum wage in US is $7.25 so I would say anything half of that would be a bargain.. to make your service more valuable.. list your tech and internet marketing expertise... and SEO maybe..

You might consider taking your services to a specific, non-IM, niche.
Maybe something like Realtors or CPAs - people who need basic jobs done and don't know other sources to find people.

I've been looking for clients myself. You might consider even hooking up with other, established VAs who are overrun with work. I'm hoping to get enough clients that I can outsource darn near everything to other VAs who are getting started.
