What's the best way to sequence an email series for this purpose?

I work for a mlm lead generation company and we have a database of about 23,000 existing customers. We generally send these customers an email notice when there is an upcoming special or promotion, but we dont really have an automated followup series in place.

the email campaign manager (not his primary job) has become busy with many other projects and is looking for a way to automate followup to new and existing customers by planning out a one year followup series. The idea would be to followup with new and exisinting customers regarding the following items:

1. Notification of Weekly Live Lead calls - these run 6 times per week, Sun-Thurs and feature a diff industry leader for each given call.

2. Special promotions - we offer seasonal special on a variety of leads packages in order to drive new sales and re-orders.

3. Free info tips - We'd like to offer free information which might be beneficial to our customers in working their leads and developing their businesses.

4. Free gifts - These would be free downloads like ebooks, audios, scripts, other items that might add value for our customers in terms of training and/or education.

So what he'd like to do is have it setup so that we can load our existing database into the autoresponder (or give them a chance to optin), and also start new customers out on a followup series that will as the entire year. So it would be like:

Day One: Welcome email
Day Two: getting started
Day Three: ----
Day four: ------
Etc

I'm guessing that the best way to do this would be to send emails more frequently for a customer who is just starting out. Then gradually send less and less until we are only reminding them of the weekly calls periodically, and sending the occasional helpful tidbit as well as free offers and weekly specials.

We're trying to plan this out, so my questions are:

1. Is it a good idea to plan that far out?
2. What kinds of emails should new customers be getting and how frequently?
3. How often should we remind them of the weekly calls?
4. How often should we send them free info or free gifts?
5. How should the overall email setup be staggered over 365 days?

Not sure if I'm asking all the right questions here, but let's discuss.

Thanks.

If you're going to be sending emails everyday, make sure each and everyone of them has good content. You want them to want to receive emails from you and that can be difficult if you blast too many out at them. For a year plan, I would almost say weekly emails, all sent on the same day of the week. This way you can broadcast your specials, promotions, etc in between the scheduled email and not have them over lap or are too close.

If you're doing a whole year, make sure you have someone on top of it just in case you something changes and you have to update it.

I have 4 autoresponders running right now in different niches and each has 6 months of loaded emails. Works like a charm.

      Thanks Travis,

What you're saying makes alot of sense, but what I mean to ask is:

What type of content should we be sending out?

When someone first buys leads from us, they usually can benefit from some sort of training. That's why I was saying that maybe we have an initial series that is 7 consecutive days which points out some features of the system (the have access to a CRM) and also shows them where to get training on how to approach their leads. If we're sending weekly emails, then does this one email contain system info, a weekly tip, training call info, free gifts, etc?

See what I mean? I think we'd need more emails initially and then stagger them out later on. What is the optimal number of times to mail each week and what is the best day to mail out?

      Thanks.

Aww, I see what you're saying. Sending them a 7 day consecutive email series is fine in your case. They sign up for the training and thats what they are looking forward too.

I would be trying to build hype in each of these emails to some service you offer or are apart of that would make each of the steps easier.

After the initial training course, I would slack off on emailing everyday. This can really be dependent on your market though. Here you can start throwing out the your free gifts, training call info etc.

I would also suggest having two different autoresponders. It sounds like your plan is to send your buyers into an autoresponder series. Make another one for your potential buyers. Use the 7 day training course as incentive for the potential buyers to sign up, and maybe offer discounts, etc. Market the 1st day or two of the training course then leave a optin to get the last 5 or something like that.

This way you have you're buyers list which you know will pay money for what you have and you will have a list of people that might be interested. Each of these should be having different content and promotions.

It's all about testing this stuff with your market. As long as you give them good stuff they will like it though.

One of my autoresponders is a 30 day fitness video course...I give them the first week free on my website. Have them sign up for the next 23 days and email 1 video and description each day. I created a 90 day video course as my upsell and now I have them for at LEAST 23 more days to promote that video course unles they don't want the free workout anymore. Once a week I make sure a video pushes a problem people have with fitness and weight loss...something my product doesn't cover...and then a couple days after that I remention the problem with a fix (affiliate link).

If they still haven't bought after 23 days, I slack off on emails to 1-2 a week. Just to give you an idea of an autoresponder that is working for me.
