This may be overkill for you, but I use MS Project, a very well structured project management software. It's still about $250 I think, but well worth the investment IMO.

I don't use any fancy gadget or software to keep track of what I need to do each day... I just use a good ol' fashioned to-do list on a sheet of paper. To me, physically crossing out each item as it's completed is alot more satisfying than deleting it out of my iphone or off of some other document.

And, of course, when you are your own boss, knowing that "time really is money" is a nice reminder that you need to be as productive as possible

Organization-wise, I don't do anything fancy... I am meticulous about all of the folders in my computer. With just a few clicks, I can see exactly what I've done for each client in a given month and when all of my orders were sent out.

I'm also a big believer in tidying up my desk every night before I leave the office. That way, I don't start out the next day with yesterday's clutter. To me, that kind of disorganization is stress that I simply don't need.

I schedule my tasks in advance in Google calendar and have the important ones repeat weekly on the same days and times so that it becomes routine. I also outsource extensively and have created Google spreadsheets as color coded task managers for my team of VAs. This makes managing them very easy for me to do. You can get more info in the links in my sig file.

    • Automate everything. You'd be amazed at the amount of free or open source software out there. Really there isn't much you have to do personally, when it comes to Internet Marketing. I'm not saying it's easy, especially not in the beginning, but I still wouldn't call it hard work. My brother is a garbage man, and earns $8 per hour, minus taxes, He gets up at 3 in the morning to go to work, that's hard work.

I also am a big believer in to do lists and use both the old fashioned pen and paper and computer/smart phone. Regardless of what you use for the list the most crucial thing to do it to prioritize the items so you focus on the most important tasks first instead of wasting all day tackling the trivial items just to be able to cross them off the list.

I have a good old pen and paper too (feels good crossing stuff off the list)... as well as the "pomodoro" timer which helps keep track of how long to spend on certain tasks.

If you're not doing something productive, you're not making money!!

As far as productivity goes, don't forget that 80% of results comes from 20% of effort. So always try to focus on the 20% that brings the biggest results. One practical application is to do the most important things first thing in the morning. These are profit hours, the hours you take action on something and do do do, no pondering about what to do.

Also, it is a good idea to have a distinction between 'must do' items and 'things i'd like to do' items. This way you can prioritize. Things you must do have to get done no matter what.

I've recently found a nice flexible balance that helps keep me from burning out or getting bored. I write six articles for clients three times a week (Mon, Wed, Fri) and work on Kindle books and websites Tues, Thurs and Sat.

I keep track of personal and business projects, goals and tasks with a loose Getting Things Done (GTD) approach. I like paper-based systems but am currently testing an Android beta version of My Life Organized.

I keep a strict file structure and organization on my hard drive and mirror the important parts on my smartphone so that I always know where everything is. I also have some custom scripts that I use as my browser start page for quick access to everyday tools and financial information.
