I went to the Warriors for Hire section on the forum and ordered a service (backlinks) from someone with lots of good feedback. The service was to be done in 4 or 5 days.

When the time came, nothing. No email, no notification. The auto email at order time told me to expect to wait 4 days. I waited about 6 or 7, then sent an email asking what happened to the order.

All kinds of things raced through my mind: The guy ripped me off!! He's on vacation and didn't turn off the auto-order system. He's sloppy and estimated he would be done quicker than he could get it done. My order got lost. He was doing great for others, but shut down and walked away just as I placed an order. Maybe I really did get ripped off.

With over 50,000 emails in my inbox I had to search to see if I got anything from him. Nope, nothing for 10 days. Ok... I must inquire and find out what he's doing.

The reply came back. He had filled the order within his original time frame and sent a message that it was complete. He send me another copy of that notice.

I felt like a fool. Looking again in my mail didn't find the order complete email. I even used the subject from the copy he sent. Nope... I never did get that email. Who knows why... filtering , spam rules, attachment, something.

The guy did nothing wrong. He did the job and filled the order as expected. My mounting bad feelings were simply because of a lost email.

That made me wonder how many other people get a bad reputation for a systems failure not of their making. I also wonder how things like this can be prevented.

Has this happened to you, either as a seller or buyer?

    Well the seller sounds like he was responsive to your inquiry - and those kind of sellers generally earn a good reputation from stuff like this instead of a bad one.

    It sucks that you lost the email, it could easily have been a problem on your side or his.

    Yep it's happened to me on both sides of the equation. That's why, when I first follow up I don't make any accusations. You just don't know what's up at first.

    I think its important to have patience when things like this happen. I know from experiencs that in 95% of the times this has happened to me, I just had to be a little more patient. There are some that will try to rip you off but in most instances a little more patience on our part is required.

    Patience is the best remedy . Yes you can e-mail them and ask for a status update. We are all human and sometimes we forget about stuff, happens to me sometimes, hey, I'm human .

    Especially when a seller has lots of orders they can loose track of things. Most sellers I have dealt with are doing a great job. I have heard of horror stories though, but those sellers simply get banned.

    It doesn't cost anything to assume the best of people (provided of course you're pro active about chasing things up). I always start on the premise something other than a deliberate wrong has been done, its just a case of sorting out where the problem is and how to fix it.

    You can always bring the hammer down later

    Scott, I forwarded an email from my office to my home email account. It never got through! It did not land in the junk folder, I did not get a undeliverability message at my office - nothing!

    That was not the only time this has happened. Maybe it's related to a lost letter in the USPO and I will receive it in a couple years. (That has happened to me too.)

    p/s- Glad that things went well scott.

    People never believed that emails can get lost.. I have gone through it many times, and i am sure many warriors will have experienced this in one point or another.

    While no system is 100% perfect, we have the best delivery rates using a support desk system so that people can log in and their orders are archived. I recommend that in the future.

    What works well:

    - a forum like this one with private areas for clients (upload attachments in the client's secure area).

    - a Kayako support desk (we have their previous model with Team work areas, but I believe even their newer models would work fine.)

    - Basecamp third party software solution

    - Google gmail / Google docs - Sharing Google docs work well, too. For some reason, Gmail to gmail works great (guess Google doesn't see itself spamming itself ... or something).

    Or better yet, set up a Google account just for team work and have your VA log into it to load your docs.

    Don't be shy about setting up your own delivery system for your work, either. We have clients who have their own support desk, so we load work in ours (for our team to handle) and theirs.
