How do you keep track of everything?

As I get more and more involved I'm finding it harder and harder to keep track of everything. I Have so many different passwords and usernames on so many different sites it's hard to keep track. I try to make them all the as close as possible, but sometimes that's not always doable. So how do you keep track of that, and also any other things? Do you take all your sales from various affiliate networks and write them down? Do you keep a list of all your expenses?

    For passwords, Roboform is great.

For expenses, I was shown this site yeseterday, and would recommend you to have a look (relatively cheap too:

I use excel spreadsheets for the most part and keep back-up copies of everything (cloud and hard copy). For my incomings and expenses I set up macro's to calculate the cashflow, which is a huge help when it comes to filing taxes at the end of the year.

I use Roboform to remember passwords and to fill out basic detail on forms for me. I organise my gmail by using coloured labels for different contacts, that saves a lot of time. For expenses and sales I also use an excel spreadsheet and just keep it simple. To schedule emails and keep my list I use Aweber. Hope this helps.

I suggest you use a spreadsheet that is very well organized and always leave yourself with time at the end of the day to update it.

Try a word processor like Word or WordPad.

Create a doc that is simply a list.

list the business name, and on the next line the URL, next line your username, next line your password, and on the next line the email you used when you set up your account.

Add several blank spaces then write the info for the next website... and so on.

To find a particular username and password use "find."

    It's quick, easy, and free.

Important - keep a backup copy or two. I keep an SD card in the slot on the computer, and a USB drive plugged in the side of the computer. Backups of the password file go onto each. I also copy that USB drive to my other computers.

I use Lastpass for passwords and web form input. There is a free edition. I have spreadsheets of all my expenses, domain names, passwords, databases etc etc. Keep a backup. I use an online backup service by the name of carbonite. Nothing beats peace of mind man.

for things other than my banking and paypal, I use the same username and password. My password is such that it is not easy to hack but I always remember it. Most people do not like this approach but I have been doing it for over 10 years and never had a problem

When it comes to passwords, I like to have multiple backups in place, so I use Roboform, notepad files where I simply writhe them down, also an ol' good piece of paper (or several in my case). You can never have to many backups when it comes to passwords.

For expenses tracking purposes, there are indeed several programs that can do that, but if you're strapped for cash you can simply use a spreadsheet like others suggested above.

I'm using Evernote for "free form" notes and Excel spreadsheets for "structured" information like different lists: contacts, things to do, urls etc.

Personal Brain for mindmapping and brainstorming and Google Calendar for time sensitive information.

Everything is on my Dropbox folder, so I can access it from different locations and countries.

This is the most effective system for me after years of testing and trying.

Password software is a must in this biz in my view. Saves a ton of time. I use 1password but hear great things about those mentioned above as well (Roboform and Lastpass). You can keep track of domains and hosting this way as well but I use spreadsheets for account tracking.

Check out expensify.com for expense tracking. It's a dream come true for me. Snap a pic (screenshot or pdf) of your invoice/receipt and drop it in that web tool. You can also sync up your bank accounts and credit cards and match the invoice or receipt. Best part is snapping pics of receipts on the smartphone with the app (and tossing the hard copy receipt ASAP...hate those). Heaven...and it's all free. Kind of nuts for all you can do with it. I use that in combo with Quickbooks (not free). Accounting doesn't get more complete than that.

Also I use BackBlaze for backup of everything. $5 a month...cheap and doable, peace of mind...priceless.
