[HOW TO:] Make more money through extreme productivity

Productivity is the single most important factor to increase profits when you are running a business. Once you have something you can sell, the only way to increase your work capacity and grow your business is to be more productive with each second of your time.

I have developed a tyrannical level of control over my time. I highly value the ability to relax at certain points in the day and be able to shut my mind off from work to spend time with my family. That means I must pack lots of good work into my "work time" so I don't have things weighing my mind down.

You may have heard of the Pareto Principle - 80% of effects come from 20% of causes. You can read here for more info:Pareto principle - Wikipedia, the free encyclopedia

Knowing the Pareto Principle tells us something about our work:

80% of our profit comes from 20% of our efforts

The goal is to figure out what those 20% tasks are and focus on them. Hire others to do the 80% tasks that produce the least profit per hour.

In honing my productivity levels to a razors edge, I've discovered a few things. These few, simple steps have allowed me to grow faster than ever while increasing the amount of time I can "unplug" from my business. It is the best of both worlds.

1) Be productive early I used to say "I'm not a morning person" and that meant I would stay up late at night working and then sleep in. This is a bad, bad way to be productive. Sure, it's an OK way to be lazy but personal and professional growth is not for the lazy.

In the corporate world, you become disciplined to get up early and get to work. If you have never had that experience and learned that discipline, you must learn it on your own. Go to bed early and get up early. It is a fact of the world that people are most productive in the morning.

You can argue all you want but it is true. Develop the habit. If you insist on saying you can't get up early - please examine your real motives. I'd bet there is a lack of discipline in many areas of your life.

If you still have a full-time 9-5, it is much better to go to bed early and get up early enough to work. When I still had my 9-5, I got up at 4am every single day. I had to be at work by 8. So, I left at 7:15. This meant I had THREE hours every morning before work. After work, I came home, ate dinner with the family, and worked another hour. I was in bed by 8:30. I know how it is. Shower at night before bed so your morning productivity is not wasted. Showering is a low profit activity - do it at night.

On weekends, I STILL got up at 4am. I could knock out a full 8 hours of work by noon, and then have fun. I was tired a lot - but that is what you must do.

2) Turn off all of your alerts. While you are working, little reminders keep popping up that interrupt you. New email in the inbox. Facebook message. Text message. IM. Sales notifications. News feeds. In today's world, we are surrounded by interruptions. Turn them all off and you will find a new level of high profit productivity.

3) Don't let email drive your day. This is so important. If email is the first thing you do in the morning you are missing out on a lot of productive time. Letting email drive the day is like giving your car keys to an insane person and letting them decide your fate. Email is schizophrenic.

I use startup tabs in my browser. Email used to be one of them that automatically came up. Take it out of your startup tabs! This one thing will free you up and unleash your morning productive time. What do I do instead?

Here is how my tabs are set up. This determines my early morning workflow.

Tab #1 - My sales CRM (right now I use Nutshell - it is simple and awesome) Sales is the single most important function of any business so I start there. I run through all of my sales related tasks and make sure I have enough in the pipeline. I make my calls to followup with people first thing in the morning. ALL SALES TASKS COME FIRST. Then, in the afternoon, I can followup with the people who didn't answer the phone or were too busy etc.

Tab #2 - Project Manager (right now I use Wrike - it is awesome and has made me much more productive) Now it's time to execute work product. I look at the tasks that are overdue/due today and follow up with the workers. If you don't have workers it's OK - just start doing these yourself. Just don't jump into project tasks until AFTER all your sales tasks are done. That is the only way to grow your business so you can eventually hire other people to do the work.

TAB #3 - Contractors - I have my outsource tab pop up so that I can quickly communicate with any contractors as I am doing Tab #2.

That's it.

Notice - There is no email tab open. No Facebook. No News. There is no Warrior Forum tab. I love the WF but it is a low productivity activity. You really shouldn't open it until your other things are DONE.

My daily workflow looks like this - Sales > Projects > Email > Sales > Email > Other stuff > Projects > Family Time

Other Stuff = WF, Facebook, News etc...

If you adopt a similar pattern, I guarantee you will get more done, and earn more money.

    Something that I've been doing lately that is a real eye opener on how productive or efficient I am, is tracking all my daily taks through toggl. www.toggl.com check it out, its free. Takes a small portion of time to set up all your tasks, clients, etc. but I track everything from emailing, different marketing tasks, time spent on projects, absolutely everything relative to my business. My guess is that anyone who starts tracking their tasks will immediately be more productive, but it also allows you to realize how much improvement there is left.

      This looks like an awesome tool and I am signing up now.

      This will help increase my productivity immediately. I am excited to start using it, but also scared to see what the first few days will tell me. Then again, it'll be worth it to see how productive I am (am not).

I guess I'm agreeing you should wake up early to become more productive, but maybe you should do your writing at night and save it for the morning before putting it into place. Write, sleep, wake up, proof read, do everything else you need to do.

              You raise a great point - I seem to be creative at night also. I have to be careful or else my mind will keep me awake and then getting up early is tough.

              I work out daily. I do that in my "Other Stuff" time. I workout, shower, water the garden, eat lunch etc...

      I was actually using an Iphone app called "Gooey Timers" pretty much for the same thing.

      But I have been thinking about something like you just mentioned.

    I used to work with attorneys. One in particular was very well regarded professionally, very religious, and very devoted to his young family. He was also part owner/partner of his law firm.

    He absolutely did take phone calls until afternoon everyday. During that time he worked on what he needed to.

    He also did not work on Saturdays because that was his day of worship and family time. He was also always home for dinner at normal time during the week, and involved in his kids' activities.

    Great example of what Dan is writing about.

      I'm new to the forum - as far as signing up goes. I've been reading for the past few months. Dan always provides awesome information.

      I have to "argue" some points Dan makes here.

      Let's get the least important parts out of the way - showering. An activity that takes 10 minutes TOPS is not killing productivity. As a matter of fact, I am the type of person who is completely useless in the morning until I get a shower in. It's a way for me to clean up and start my day fresh and relaxed. If I shower at night it almost wakes me up and keeps me up at night.

      Another point I can make about showering is that it's good to wake up and exercise! What? Showering isn't exercise! I know, I wish I could get away with that, too. I like to wake up and take a bike ride in the morning before it gets too hot in the afternoon. Exercising clears your mind and makes your body feel 100% better. Exercising also makes you sweaty and smelly so showering after is a good idea.

      I'll 100% agree you'll be more productive if you wake up early and get started. There might be a handful of people who can argue this point and it's true - everyone is different.

      Another thing to consider is creativity levels at night. There have been tons of studies done to show people are more creative at night. The outside world is more quiet at night than during the day giving your mind peace.

      At night your mind starts to let it's guard down. You can then use that to your advantage and write more interesting articles because you won't be worried as much about what people thing - you almost stay more true to yourself and your beliefs.

        Yes, I agree. You can do some constructive thinking in the shower, get ideas popping into your mind etc... so the 5 - 10 mins it takes in the morning is not wasted time.

    Checking email.. The #1 thing that can stop you from going about your day.

    I would know.. i did that before. Trust me, if you are going to read email, make sure it is important and not the random emails you get from product sellers promoting a new product!

    If you want to be productive, read those emails after lunch for a quick break before you head back online to do your work.
