Copying from Microsoft Word-Pasting into the website

Hello mates,

I have a writer who writes all contents of my WordPress website.
He always writes the contents in the Microsoft Word 2003.
When he sends the Microsoft files to me, I push the Ctrl + A to select all the contents and then try to copy and paste them to my website. Then I try to change the needed titles from Paragraph to H1, H2 etc.

When it comes to SEO and ranking in SERPs, is that OK to do so?

Simply copying from Microsoft Word and then pasting the content into the website, is that what you mates do when you have your contents written in the Microsoft Word format?

Thank you for any input.

The problem with pasting from Word is that Word adds its own in-line formatting to all of the text. This overwrites the CSS of your website, which not only can lead to inconsistencies in the way text appears throughout the site, but it creates a whole lot of unnecessary code on all of the pages.

We copy the Word text, paste into a no-format text editor like Notepad and then paste the content from notepad into the WYSIWYG editor. OR, you could paste the text directly from Word into the HTML editor of your website. Either way, you will then need to go back in and add formatting, paragraph breaks, links, images, etc.

Not a very efficient way of doing things, which is why we prefer to do our writing directly in the website software as a draft.

My website is not ranking very good in SERPs, so I want to know if it has anything to do with direct copying from Microsoft Word into the WordPress? Or direct copying does nothing more than messing the form-style of the content and adding overwrites/HTML?

    Thank you.

Your bad rankings have absolutely nothing at all to do with copying and pasting from Word.

Yes, Word adds extra formatting that can cause layout issues and extra code, but if it is making any difference in rankings it would be the difference between ranking #500 and #499. That's about it.

Yes, it does. The formatting does not transfer correctly and you end up with extra characters, etc. Very easy to avoid the problem.

Tell your writer to send the work in text files instead of word.....simple for the writer to do - easier for you to use. You will always have problems if you copy directly from Word.

When I was freelancing I automatically included the files in word AND in text so the buyer had a choice. Do your copy/paste from a text file.

Copy the content from Word, paste it in Notepad. Copy the content from Notepad, paste it on your site's pages. (Notepad removes the code Word ads.)

As regard ranking, getting backlinks does more for your money than adding content day in and day out.

Microsoft Office Paste special option box In new versions of Microsoft Office when pasting text a paste box will appear in the bottom corner of the pasted text, as shown in the picture. Clicking this box or pressing the Ctrl key opens the Paste Options for that text. In these options, you'll have the option to Keep Source formatting (K), Merge formatting (M), and Keep Text Only (T) that only pastes the text without any formatting.
Tip: In most versions of Windows Ctrl+Windows Key + V or Ctrl+Shift+V also pastes text as plain text.

    OR

PureText allows you to paste text to any application without formatting. It removes rich formatting from text. This includes the font face, font style, font color, paragraph styles (left/right/center aligned), margins, character spacing, bullets, subscript, superscript, tables, charts, pictures, and embedded objects.

    HTML Code:
However, it does not modify the actual text. It will not remove or fix newlines, carriage returns, tabs, or other white-space. It will not fix word-wrap or clean up your paragraphs. If you copy the source code of a web page to the clipboard, it is not going to remove all the HTML tags

Well Its how everyone who gets his content written does it. But I have found that sometimes you get some extra spaces and other elements which breaks the websites structure so I try to stay away from it and use notepad

I've found most experienced site owners understand the issue and avoid it whether they outsource writing or create their own content.

That 'paste special' is just the trick for those who use the latest version of Word.
